Associate Program Management

The Mission: 
International Justice Mission is a human rights agency that secures justice for victims of slavery, sexual exploitation and other forms of violent oppression. IJM lawyers, investigators and aftercare professionals work with local officials to ensure immediate victim rescue and aftercare, to prosecute perpetrators and to promote functioning public justice systems.
The Need: 

Overview: Associate - Program Mangement (APM) facilitates and supports Project Director in the implementation of Grants. She/he will work with teams to strategically achieve project goals within scope, timeline and budget. The APM assists the Project Director and support other project leads to ensure aligment of project goals with larger goals and vision of IJM.

Key Result Areas:

The success of this role is measured by the following KRAs:

  1. Assist the Project Director primarily in overseeing the project workplan implementation and monitoring progress, as well as track expenditure, change, activity and knowledge of projects within the scope, timeline, and budget.  
  2. Support the project heads to review project status and performance, analyze strategies and implementation to achieve project goals within the targeted timeline.
  3. Assist Project Director in managing the internal and external project stakeholders.

Responsibilities: 

Strategy & Knowledge Development & Implementation:

  1. Provide regular input, critical analysis and feedback to the Project Director and other line managers/supervisors on strategic and tactical aspects of the Grant.
  2. Support the Project Director, Grants manager, and Senior Lead M&E, and Program Lead in reviewing the projects, maintaining relationships with sub grantees, and Regional Senior Lead Grants and Partnerships, and tracking changes in the workplan, budget, and other aspects of the Grant in accordance with IJM program guidelines.

Policies and Procedures:  

  1. Ensure the grants management policies and procedures are followed by the team in implementing and reporting the project.

Communication:

  1. Act as liaison with the Project Director and Head of the departments, Project Managers, M&E Associate, Grants Manager, Senior Lead M&E, Program lead for efficient project management, expenditure tracking, adaptive management, and share knowledge and lessons learned.
  2. Update Project Director, M&E Associate, Senior Lead M&E, Program Lead and FO leaders on workplan changes, field dynamics, and adapting plans.

Training and Development:  

  1. Facilitate maintenance and use of project data to benefit the Grant.

Research, Program Management and M&E:

  1. Assist the Project Director in leading quarterly progress reviews and project team meetings.
  2. Support project manager on a regular basis in workplan implementation
  3. Regular field visits to project areas
  4. Support Project Director in quarterly monitoring of Sub Grantees/Partners.
  5. Assist the Project Director, Grants Manager and project managers in tracking project budgets versus actuals on a monthly and quarterly basis.
  6. Support Grants Manager and Program Lead to track Grants BVA.

Documentation, Reporting & Data Management:

  1. Work with Project Director, Program Lead, Senior Lead M&E and FO leaders to develop proposals for the funding of FO programs.
  2. Work closely with the M&E Associate to ensure project activities are well documented according to the FO’s Monitoring and Evaluation Plan and with the guidance of the Senior Lead M&E.
  3. Work closely with the M&E Associate to identify additional M&E needs and ways to measure the current projects.
  4. Compile and analyze quarterly reports.

Required Skills and Experience: 

Education & Experience:

  1. Master’s degree in Management, Social Work, Social Sciences, or related field.
  2. At least 2 years’ experience in Program management or related field, ideally in a culturally diverse setting and with complex projects.
  3. Experience working effectively cross-culturally and across multiple time zones.
  4. Previous experience in designing strategic processes.
  5. Organized and able to work in a dynamic environment.
  6. Project Management qualification (PMP®, Prince2® or similar certification) or graduate level qualification preferred.
